Refund, Returns, and Cancellation Policy

This policy explains how SWIFT BOULDER LLC handles appointment changes, deposits, refunds, returns, maintenance plan cancellations, and service concerns for residential HVAC and indoor-air-quality services.

At a glance

  • You may cancel or reschedule most appointments by contacting us before the scheduled arrival window.
  • Deposits for special-order equipment, custom parts, permits, and reserved installation labor may be non-refundable once costs are incurred.
  • Installed equipment and parts generally cannot be returned as ordinary retail returns, but may be covered by manufacturer warranties or our workmanship review.
  • Refunds are reviewed case by case and are issued to the original payment method when possible.

Appointment cancellations and rescheduling

Tell us as early as possible if your schedule changes so we can offer the slot to another customer.

  • Standard diagnostic, estimate, and maintenance appointments may usually be rescheduled without a fee if you contact us before the scheduled arrival window.
  • Same-day cancellations, missed appointments, denied access, unsafe access, or no adult present when required may result in a trip, diagnostic, or rescheduling fee.
  • Weather, road conditions, emergency calls, utility outages, safety issues, or parts delays may require us to reschedule. We will communicate as soon as reasonably possible.

Deposits

Deposits reserve equipment, parts, permits, and labor for approved jobs.

  • Deposits may be required for equipment replacements, installations, custom work, special-order parts, or large jobs.
  • Deposits are generally applied to the final invoice.
  • Deposits may be non-refundable to the extent we have ordered non-returnable items, paid permit or restocking costs, reserved labor, or incurred other job-specific expenses.
  • If we cancel a job for reasons within our control before work begins, we will refund unused deposit amounts not tied to incurred costs.

Refunds for services

If you believe a charge is wrong or work was not completed as agreed, contact us promptly.

We review refund requests based on the approved scope, work performed, time spent, parts used, diagnostic findings, customer approvals, and applicable warranties.

If a billing error occurred, we will correct it. If workmanship needs attention, we may first offer inspection, repair, adjustment, or correction before a refund is considered.

Returns for parts and equipment

HVAC parts and equipment are not ordinary retail goods once installed, used, opened, modified, or special ordered.

  • Installed equipment, installed parts, refrigerant, electrical components, opened filters, custom materials, and special-order items are generally not returnable.
  • Uninstalled, unused stock items may be returnable if the supplier accepts the return and any restocking, freight, or handling fees are paid.
  • Defective parts or equipment may be handled under applicable manufacturer warranties.

Maintenance plan cancellation

You may cancel a maintenance plan, but used benefits and completed visits are not refunded.

  • Plan benefits apply only while the plan is active and paid.
  • Completed tune-ups, priority scheduling, waived fees, discounts, and other used benefits are not refundable.
  • If a plan is cancelled after discounts or benefits have been used, we may deduct the value of those benefits from any refund otherwise available.
  • Unused visits within a paid plan term may remain available until the term ends unless the plan terms say otherwise.

How refunds are issued

Approved refunds are issued to the original payment method when possible. Processing times vary by financial institution. If the original payment method is unavailable, we may issue a business check or another reasonable refund method.

Chargebacks and disputes

Please contact us first if you have a question about a charge. We can often resolve billing questions faster directly. We reserve the right to provide invoices, approvals, communications, photos, service notes, and other records in response to a payment dispute.
